The Secretary shall be responsible for keeping the minutes of all the meetings of the organization
and of the executive committee. The Secretary shall be responsible for the keeping a record of
attendance, and correspondence of any kind. The Secretary/President/Co-President is responsible
for making notification of meeting to the membership.
Article VI: Meetings and Voting Privileges

Each family of a Washington Primary School student is entitled to vote. Each family of a Washington
Primary School student has the privilege of nominating, voting, attending meetings, serve on
committees, making or amending a motion.

Monthly meetings shall be held on the third Tuesday of each month or at the discretion of the board.
Meetings may be combined into the following months meeting due to weather, school vacations,
etc. At least 48 hours before a meeting, notification shall be given to the general membership.

A simple majority vote of the attending members is sufficient to transact business.

Emergency meetings may be called by the Executive Board for the express purpose of making emergency decisions. A notice of 24 hours will be given prior to an emergency meeting.
Article VII: Agenda
A. An agenda for each regular monthly meeting must include the time, location and the date of the
meeting. It shall include items to be acted upon at said meeting. An Agenda must be posted to the
Washington Primary School website 48 hours prior to the meeting.
Article VIII: Expenditures and Reimbursements

Any expenditures over $1000 dollars must be included on the posted agenda prior to a vote taking
place. All monies being spent must be presented to the Executive Board in the form of a purchase
order/proposal to be placed on the agenda at least 48 hours before the meeting date. No more than
$1000 dollars may be spent on any one event without a motion to be approved by the Executive
Board and P.T.O. members, at the next PTO meeting.

Any monies publicly stated to go to a special fund must go to the said fund and cannot be removed
for other expenditures.

All reimbursements must have receipts submitted to the Treasurer.
Article IX: Audit
A. The Treasurer’s books shall be reviewed annually at the end of the fiscal year.
Article X: Amendments
By-Laws may be amended at any monthly meeting provided they were presented at the
previous meeting.
